The Posts: 
We have an exciting opportunity for 2 Personal Assistants to join Public Health Scotland as Personal Assistant to Chief Executive and Personal Assistant to the Chair. Please indicate if you would like to be considered for one or both on your application form. There will be occasions where each post holder will need to deputise for the other:

  • x1 Personal Assistant to Chief Executive
  • x1 Personal Assistant to Chair

Your role as Personal Assistant is to manage all aspects of the general running of the Chief Executive and/or Chair’s personal offices. You will be responsible for supporting the Chief Executive and Chair to fulfil their roles as key influential figures in the delivery of the PHS Strategic Plan.

You will provide a comprehensive and high quality secretarial, clerical and administrative support service to the Chair and/or the Chief Executive. This includes diary management, co-ordinating meetings, and undertaking all other duties as PA to ensure the Chief Executive and/or Chair can use their time to drive forward the organisation’s strategic priorities.

You will proactively deal with the Chair and/or Chief Executive’s mail, assessing the relevance of the subject matter, identifying priority, and actioning incoming and outgoing mail. You will draft responses using discretion and initiative.

The Candidate:
You will be experienced and able to manage the multiple demands of the post with clarity and skill in order to ensure that results are achieved to a high standard and to time. You will have experience of dealing with a high volume of high-stake matters simultaneously, prioritising competing demands, and negotiating effectively with colleagues across the organisation. You will be skilled in dealing with tricky and sensitive situations, and in managing issues that impact on business-critical work of the organisation. 

You will have a degree in Business Administration or equivalent extensive experience of general administration, secretarial and project work.

Location and Working Pattern:
These posts are hybrid working based; being a blend of home and office based working with the base location either Meridian Court, Glasgow, or Gyle Square, Edinburgh.  Regular presence in a PHS office may be expected to support the work of the Chair and/or Chief Executive.

Work pattern is Monday to Friday. During times of public health emergency, or other urgent business need, you may be required on a temporary basis to work your normal contracted working hours over 7 days including weekends, in order to meet the needs of the service.
