We are looking for an innovative, proactive leader with strong interpersonal skills to work within our Health Records and Clinical Administration Service team.  You will be responsible for operational referral management processes and appointment booking and will work on designated projects to support referral management and out-patient services across acute specialties.

You will assist the management team to implementation designated projects to improve the efficiency of the health records service, clinical administration and improve access to clinical services.

You will manage:

  • Booking of all new and return out-patient appointments ensuring referrals are booked according to vetted priority and in turn to maximise use of capacity, provide equity of access to patients and achieve waiting times targets
  • Scheduling of clinic sessions, liaising frequently with clinicians and operational service managers to ensure that capacity is optimised and cancellations and reductions of clinics are minimised.
  • Co-ordinate cycles of validation for out-patient waiting lists
  • Change control to clinic schedules within TrakCare Patient Management System.
  • Co-ordinate the provision of responsive call management facility, dealing with all patient appointment enquiries efficiently and effectively.
  • Monitor the progression of referrals including highlighting delays in vetting and actioning of referrals to service staff.
  • Co-ordinate the maintenance of waiting lists, highlighting any potential breaches of waiting times to the appropriate operational service managers.

You should possess knowledge of health records and clinical administration processes gained through equivalent qualification and or experience.

You should be a team player with the ability to work autonomously.  Effective listening interpersonal, presentation and IT skills are essential.

Driving Licence/access to a car is required for this post as you will be expected to travel between various work locations within the Board.
