As NHS Scotland's unique provider of a national tele-health and tele-care service, we are responsible for the delivery of health advice and information by telephone and online services to the population of Scotland 24 hours a day, 365 days a year. NHS 24 is a patient-focused service providing the people of Scotland with triage, advice, guidance, referral and information on health and healthcare services.
Where We Are:
Our Regional Centres are located at Hillington, Cardonald, Clydebank, South Queensferry, Dundee and Aberdeen. This post will be based in one of our Regional Centres. NHS 24 also supports Hybrid Working.
The Role…..
The post holder will support the Workforce Digital and Data Manager in providing accurate Workforce Management Information and first line help desk support to users of the Workforce Information System.
Support in the delivery of Workforce Information System training, incorporating a directory of training materials to support system users. In addition, this role will provide administrative support to the Workforce Data and Digital Team.
Key Responsibilities:
- Provide first line helpdesk support to all NHS 24 Workforce Information system users to ensure maximum availability of the system and to resolve noncomplex user issues or problems
- Provide ongoing administrative support to the Workforce Data and Digital Team through diary management and organising meetings including the production of minutes and action logs
- Assist the team with projects by collating relevant information and undertaking associated administrative tasks
- Support system users with resolving faults and providing technical support
- Ensure employee records are stored and maintained in accordance with the Data Protection and Freedom of Information Acts
- Create and maintain system user accounts ensuring adequate access is provided to allow staff, managers and Workforce users to perform their role
- Support the Workforce Data and Digital Analyst in the continued roll out of functionality within the Workforce Information System
- Deliver training to all Workforce Information System users as required, providing subject matter expertise ensuring that all users are adequately equipped to use the system
- Support the Workforce Data and Digital Analyst in designing and maintaining a broad range of effective training materials and standing operating procedures for system users
- Undertake regular audits of the system and help produce exception reports as appropriate to ensure compliance and highlight data inaccuracies and anomalies
- The post holder will be Information Asset Administrator for the Workforce Data and Digital Team ensuing that the relevant Records Management Policies and Procedures are followed and that the Information Asset register is accurate and up to date
- Assist in the monthly collation of the Workforce Performance Report to publish current workforce information on the staff intranet and provide to NHS 24 Committees and Senior Management Team
- Support the Workforce Digital and Data Team in the production and delivery of the Workforce Data and Digital Plan.
Successful applicant:
- Qualified in CIPD foundation certificate in People Practice or equivalent experience.
- Excellent IT Skills – particularly using Excel and databases
- General Administrative experience within an office environment, ideally with experience of working with a corporate HR system
- Ability to work autonomously or as a fully supportive and integrated team player contributing to effective performance in achieving strategic goals for the Department.
- Advanced keyboard skills
- Experience in training one to one and group training sessions
- Excellent problem solver
- Ability to communicate and influence verbally and in writing with a variety of individuals with differing levels of understanding
- Ability to prioritise workload and balance conflicting priorities

NHS 24 offers a complete benefits package, with a permanent contract on Band 3 (£25,468 - £27,486) Placement on salary scale is dependent on confirmation of previous relevant NHS service.
