We are seeking a permanent, full-time Waiting Time/Clerical Supervisor to support the Adult Community Mental Health Service, based at Gowanlea, Arbroath but supporting the service across Angus. The ability to travel for work is essential.  (Please note that the base is under review for relocation to Bruce House, Arbroath.)


Following a pilot, the Service recently introduced Enhanced Community Support Hubs across the Angus area to manage referrals into the service.  The successful applicant will work closely with the Nurse Team Leads and admin teams to ensure consistency, develop and improve recording, extract data and produce reports.  In addition, the applicant will work closely with all parties to improve efficiency in data collection.


The successful candidate will be responsible for all administrating all tasks for low level waits, including arranging Multi Disciplinary meetings, inputting outcomes on EMiS, sending outcome letters to patients, producing data and reports on the progress of the process, whilst ensuring equity in managing the waiting list. 


The successful candidate will be responsible for the day-to-day supervision of admin staff within the base office.


The ability to deal with confidential information with attention to detail and accuracy within a busy environment is essential as is the ability to identify and assist in the solution of problems. 


You will be required to achieve the mandatory Induction standards for Healthcare Support Workers in Scotland and to comply with the Code of Conduct throughout your employment.  


The successful applicant will possess an HNC in Administration and IT or equivalent, have good communication and organisational skills.  Good working knowledge of Trakcare and EMiS. Previous experience of working within the NHS/Local Authority is essential, preferably within a joint collaboration.  The ability to manage own workload and also to work as part of a team to prioritise workload is essential.  Previous administrative/secretarial experience, producing reports and experience of working with database systems are essential.

Hours of work are:  37hpw


NHS Scotland is reducing their full time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay.  This reduction will also be applied pro rata for part time staff.  This advert and any subsequent offer/contract of employment therefore reflects the new working hours.  However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.  If you have any questions or concerns please contact the Recruiting Board.
