Teaching Centre Reception & Administrative Assistant 2 posts – 29.6 hours per week – worked over 4 set days – Mon/Tues/Thurs/Fri

We are recruiting two Reception & Administrative Assistants to support the new Undergraduate General Practice & Mental Health Teaching Centre based at the Foresterhill Health Campus.

The Teaching Centre is a joint development between NHS Grampian and the University of Aberdeen, delivering supervised clinical teaching for undergraduate medical students.

The post holder will act as the first point of contact for patients, students and staff attending the Teaching Centre, providing a professional, calm and welcoming front-of-house reception service. Duties include clinic reception, appointment coordination, use of NHS systems, and supporting teaching clinic activity.

In addition, the role includes administrative support to the undergraduate medical education programme, undertaken in line with service priorities.

Although employed and line managed by NHS Grampian, the post holder will work day-to-day within University of Aberdeen premises as part of a joint NHS/University team.

What we’re looking for:

We are looking for reliable, organised and approachable individuals with experience in a reception or administrative role, ideally gained within a healthcare, education or other public-facing environment.

You will be comfortable working in a patient-facing reception role, maintaining professionalism and confidentiality, and providing a calm, welcoming service.

You will also have:

· good organisational skills and attention to detail

· confidence using IT systems and managing routine administrative tasks

· the ability to prioritise work and respond appropriately to competing demands

· a professional and supportive manner when dealing with people who may be anxious or unfamiliar with a clinical setting

Please note that the Working hours are aligned to Teaching Centre operational hours. As such days and hours are fixed and flexibility is not available.

As from 1/4/26, the Agenda for Change full-time working week will be reducing from 37 to 36 hours per week. Part time hours will be reduced pro-rata. However, there will be a corresponding increase in the hourly rate so that pay will not be affected.
