The primary role of the post holder is to provide clerical support to the Health Visiting service. The post holder will work within clearly defined protocol and procedures, adhering to Board policies e.g. Health and Safety, Data Protection and Confidentiality. After initial induction and on the job training, the post holder will work with some supervision and guidance and assistance is available from Administrator. The post holder will have an appraisal in line with NHSGGC policy.
Essential: Standard Grade English. Good keyboard skills. Good written and verbal communication skills. Ability to work as part of a team. Ability to follow protocols for work areas and contribute to review of these protocols. Ability to prioritise workload and exercise initiative. Flexible
Desirable: Typing qualification. Experience of data input. Proficient in Microsoft Office particularly in word. Previous NHS Experience.

New employees will undertake an induction/training programme. This will be a minimum of 4 weeks depending on the department and location.

Post-holder:-

  • must show competence in the basic use of computer packages evidenced by experience or formal qualification e.g. ECDL
  • must show knowledge of working in an office environment and of operation of office equipment and systems. This may be through formal training or work experience.
  • Requires good command of verbal and written English.
  • Requires knowledge of organisation and department gained through prior experience within the organisation, induction or short period of orientation. Existing training and education will be supported by a period of orientation and induction to be completed within a period of 4 weeks.

The role:

The post provides clerical/administrative support to the C&F Team as required working flexibly within agreed procedures and protocols. This will include data input, record management, organisation of programme materials and general typing. The post holder will have frequent contact with the health visiting team and the team lead and will support the team lead in his/her duties. There will also be contact with other C&F teams, other NHSGG&C staff and external partners. At all times the post holder will be expected to act in a courteous and professional manner. New employees will undertake an induction/training programme. This will be a minimum of 4 weeks depending on the department and location.

This role does not meet the eligibility criteria for a Skilled Worker visa or a Heath and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (CoS).

Shift pattern

This is part of the NHS Scotland Reduced Working Week (RWW) introduced through the national pay deal, contracted hours reduced from 1st April with no impact on pay.

  • Current Working Pattern: 32.56 (until 31st March): Monday–Friday: 08:30–15:30
  • Working Pattern from 1st April 31.68hrs: Monday–Thursday: 08:30–15:30 (includes a 30‑minute lunch break) - Friday: 08:30–14:11 (no lunch break) or 08:30–14:41 (includes a 30‑minute lunch break)


Key responsibilities:

  • Under the general direction of the Team lead, the post holder will be expected to undertake most or all of the following responsibilities:- General 1. Answering incoming calls and dealing with enquiries and transmission of messages to appropriate member(s) of the Team. Making outgoing calls to arrange meetings, room hire, organising resource deliveries
  • Deal with telephone enquiries received from service clients and other staff members, responding to these or redirecting to another team member as required
  • To receive staff/external visitors in a polite and helpful way and ensure they are dealt with appropriately and efficiently, respecting confidentiality at all times. Provide a clerical function to one or more office bases as required, respecting confidentiality at all times
  • Provide administrative support to the Children and families Team ensuring an efficient and effective service is maintained and workload prioritized, including typing of letters, reports and supporting the health visitors, community nursery nurses and health care support workers
  • Book rooms using electronic or paper formats and ensure that non-clinical rooms are set up appropriately
  • Book interpreters as required for clinical appointments and meetings
  • Arrange and amend appointments for patients by telephone, on instruction from Health visitors
  • Provide general support to Team lead as appropriate to grade
