The role:
The role involves welcoming patients, relatives and visitors through the door‑entry buzzer system and directing them safely to ward areas. This includes ensuring that all visitors understand and follow security, health and safety, and infection‑control measures. The post holder answers ward telephone calls, relays messages to the multidisciplinary team, and provides patient condition updates to relatives as directed by nursing staff. They also maintain a clean and presentable reception area, including PCs, telephones and casenote trolleys.

Key responsibilities:
Customer Care
Welcome patients, relatives and visitors via the door‑entry buzzer system and direct them safely to ward bedrooms.
Ensure visitors understand and follow security, health and safety, and infection‑control measures.
Answer ward telephone calls and take/relay messages for multidisciplinary team members.
Provide information on patients’ condition to relatives as directed by nursing staff.
Maintain a clean and presentable reception/clerical base and waiting areas, including cleaning PCs, telephones and casenote trolleys.
Patient Administration
Admit, discharge and transfer patients on the TrakCare Patient Management System.
Cross‑check the bed census whiteboard with TrakCare.
Pre‑admit patients on TrakCare.
Arrange, request and book outpatient appointments.
Arrive and discharge clinic patients.
Arrange ambulance transport for discharges or routine transfers to other hospitals.
Arrange interpreter services.
Request patient casenotes and update the TrakCare casenote tracking system whenever records move.
Prepare admission packs with all required documentation.
Prepare paper casenotes and clinical/nursing documentation packs for new admissions.
Print and replenish patient identification labels.
Liaise with medical staff regarding results sign‑off.
File loose patient documentation after discharge into scanning folders/casenotes.
Scan remaining paperwork post‑discharge.
Email patient information in line with NHSGGC Board policy.
General Duties
Photocopy documents as required.
Distribute staff and patient mail.
Monitor ward stationery levels.
Generate stock and non‑stock orders using PECOS as directed by nursing staff.
Report faults to Estates and IT helpdesks.
Manage deposit and collection of patient belongings with the Hospital Cashier according to ward protocol.
Enter underlying nursing shifts into SSTS every four weeks (rota updates and authorisation completed by the Senior Charge Nurse).
Enter ward audit data into relevant systems.
Assist with induction and mentoring of new or rotating staff, ensuring familiarity with ward procedures.
Attend daily ward huddles when required for information sharing.

Knowledge, training, qualifications and/or experience required to do the job:
- Knowledge required to undertake the role will be established through relevant in-house training relating to processes and procedures, TrakCare patient information system and stock ordering system with expectation of performing at a fully competent level within a specific time period (tbc).
- Previous clerical/reception experience.
- Previous experience of working with the general public in a customer service environment.
- Good organisational and communication skills.
- Keyboard skills.
- Proficient use of computer systems.

From 1 April 2026, the Agenda for Change full-time working week will reduce from 37 hours to 36 hours. Part-time working hours will be reduced on a pro-rata basis. A corresponding increase in the hourly rate will apply, ensuring that overall pay remains unchanged.
