Maintenance Scheduler

Estates – Maintenance & Technical Services (MaTS)

NHS Grampian is seeking to appoint a Maintenance Scheduler to support the effective planning, coordination and monitoring of maintenance activity across a complex healthcare estate.

Working within the Maintenance & Technical Services (MaTS) team, the post holder will provide scheduling and coordination support for agreed planned, reactive and statutory maintenance activity. This will be delivered through the Computerised Maintenance Management System (CMMS/CAFM), ensuring work is visible, prioritised appropriately and aligned with operational requirements.

The role will support the initial mobilisation and refinement of planned preventative maintenance (PPM) schedules, working closely with Estates Managers and Estates Officers during implementation and system transition. While the post holder is not responsible for designing or owning maintenance plans, the role is critical to ensuring their effective scheduling, coordination and delivery.

Following mobilisation, the role will focus on the ongoing scheduling and monitoring of planned and reactive work orders across the allocated operational area, ensuring workloads are balanced, priorities are accurately reflected within the CMMS and maintenance activity is delivered in line with agreed programmes.

A key aspect of the role is monitoring and reporting on work order performance, including work order completion rates, statutory compliance, system performance, and contractor performance trends. This information will support effective operational oversight, service planning, and continuous improvement, while also contributing to the ongoing maturity and effective use of the CMMS.
