NHS Dumfries & Galloway is seeking a proactive and dynamic Business Administration Manager to lead our Corporate Administrative Team and support the smooth operation of our executive and governance functions across the NHS Board, Integration Joint Board, and Health & Social Care Partnership.
This is a key leadership role within the Corporate Services Directorate, providing strategic and operational oversight of administrative services that keep the organisation running effectively.
🔎 About the Role
As our Business Administration Manager, you will:
Lead and Manage People
• Provide leadership, coaching and direction to a team of 14 administrative staff.
• Oversee workload planning, performance management, recruitment, appraisals and development.
• Foster a culture of compassion, openness, respect and excellence.
Drive Service Improvement
• Develop and implement improved administrative systems, digital tools and business processes.
• Support the delivery of statutory reports, governance requirements and corporate priorities.
• Play a central role in service redesign and digital transformation.
Ensure High Quality Operations
• Coordinate efficient business support for Executive Directors, senior leaders and committees.
• Oversee corporate correspondence, diaries, meetings, records management and knowledge systems.
• Maintain high standards of information governance and data security.
Support Corporate Governance
• Manage policy libraries, SOPs, reports and assurance materials.
• Support statutory reporting and external consultations.
• Ensure compliance with NHS policies, workforce processes and legislative requirements.
Be a Key Part of Our Leadership Team
• Work closely with the Head of Business Services and other senior leaders.
• Contribute to strategic planning, business continuity and directorate performance.
• Represent the directorate and support organisation wide improvement activity.

We’re looking for someone who brings a blend of leadership experience, organisational skill, and a commitment to our values.
Essential Requirements
• Business degree (or equivalent experience/knowledge).
• Post graduate qualification OR ability to demonstrate operation at that level.
• Proven experience leading teams in a complex organisation.
• Strong understanding of NHS pressures, governance and procedures.
• Excellent communication, influencing and interpersonal skills.
• High digital competence including Microsoft 365, Teams and business systems.
• Ability to manage competing priorities in a high demand environment.
• Commitment to compassionate leadership and continuous improvement.
Desirable
• Project management qualification or demonstrable experience.
• Familiarity with systems like InPhase, TURAS, JobTrain, eESS, Loop Allocate.
