The role:
As a Clerical Assistant within NHS Greater Glasgow and Clyde, you will play a vital role in supporting patient care by ensuring the smooth and efficient delivery of administrative services within Oral Health. You will work closely with clinical and administrative colleagues to maintain accurate patient records, coordinate clinic activity and provide a responsive service to patients and their families. Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.
All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.
Duration, Location, and Working Pattern:
- Glasgow Dental Hospital
- Monday to Friday, 09:00 to 17:00
- Fixed-Term for 12 months
Key responsibilities:
- Provide high-quality clerical support to ensure patient records and information are accurate, accessible and up to date
- Manage patient case notes and electronic records, ensuring confidentiality and data protection standards are adhered to at all times
- Respond to telephone and face-to-face enquiries from patients, relatives and healthcare professionals in a professional and timely manner
- Support outpatient clinic activity, including appointment booking, rebooking and maintaining clinic schedules
- Process correspondence and maintain effective communication across multidisciplinary teams and external organisations
- Update and maintain patient management systems such as TrakCare, ensuring data accuracy and supporting service delivery
- Assist with general administrative duties, including mail handling, filing and providing cover for colleagues as required
Knowledge, training, qualifications and/or experience required to do the job:
- National 4 or equivalent qualification, including English, is desirable
- Previous clerical, administrative or reception experience ideally within a healthcare setting
- Confident IT skills with experience using Microsoft Office and data systems
- Strong organisational skills with the ability to prioritise workload and meet deadlines
- Excellent communication and interpersonal skills with a patient-focused approach
- Ability to work independently, use initiative and adapt in a busy environment
- Resilient and professional approach with the ability to manage sensitive situations with empathy and discretion
