The Role

Supervise an administrative team of secretaries and administrative clerks and to provide a comprehensive administrative support to a team of clinicians, enabling clinicians to operate effectively and efficiently. Ensure the work of the administrative team is carried out in accordance with NHS Lanarkshire’s standard operating procedures. You will also provide comprehensive administrative support to a team of clinicians, enabling clinicians to operate effectively and efficiently. Work in accordance with standard operating procedures.

Please note this is a fixed term post for 8 months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post.

In this key role, you will:

  • Organise staff rotas to ensure that leave is taken in a structured fashion across the team, maintaining an appropriate level of service.
  • Allocate daily work to ensure a prompt service is maintained
  • Monitor demand for administrative services (eg letters dictated, appointments to be booked) and monitor the output of the team and individuals.. Use performance reports so that staff understand team performance and their individual contribution. Identify any significant risks to the delivery of a prompt administrative service (eg routine letters taking more than a week to be typed). Agree appropriate actions with your Directorate Support Manager.
  • Work with the clinical lead to monitor clinical performance with administrative work (eg. e-vetting, clinic outcomes, dictation of discharge letters, verification of letters). Agree appropriate steps to make improvements where problems are identified.

What You'll Bring:

  • Comprehensive knowledge and understanding of medical terminology
  • Evidence of effective team working and dealing with change
  • Evidence of good communication skills with patients, clinicians and colleagues.
  • Advanced audio typing skills

A driving licence is required; this must be a full UK/EU/EEA licence.
