We require two Clerical Officers to provide admin / clerical support within the Health Records Department. ​​​​​​​

Post 1 – 27.5 hours at Victoria Hospital, Kirkcaldy - Monday to Friday 8am to 1.30pm 

Post 2 – 21 hours at Victoria Hospital, Kirkcaldy - Monday to Thursday 1.30 pm – 5.30pm and MIU, Queen Margaret Hospital, Dunfermline - Friday 2pm – 7pm

It will be your responsibility to work at DHRS, A&E and Scanning at VHK and MIU, QMH

Working in A&E and MIU, there is a need for you to provide front line service to patients arriving at each department and is vital for the provision of recording of patient attendance and admissions via Trakcare. There is a need for you to be confident in dealing with anxious and upset patients / relatives showing empathy and delivering professional customer service.

Administrative tasks will include running off reports and accurately updating data along with preparing and scanning medical casenotes / ED cards, uploading to the clinical portal.

To meet service needs there may be a need to be trained within NHS Fife Switchboard. The post requires excellent communication skills, both written and oral, and will mostly involve handling calls into the Switchboard from both internal and external callers, responding to pager requests, responding to emergency calls, monitoring alarms and providing advice and support on telephony services to NHS employees and the public

Adhoc duties may be requested by Health Records Supervisors ensuring efficiency across the 24/7 Inpatient and Emergency team.

A level of accuracy and attention to detail is essential for this role due to data being uploaded to a live clinical system.

Relevant admin / clerical experience is required as is the ability to prioritise and deal with the day to day workload in a busy environment. You will be required to work both independently and as part of a team.

Candidates should be educated to Standard Grade (or equivalent) with passes in English and Arithmetic. You must also have good keyboard/typing skills with the ability to work on your own initiative. Good organisational & listening skills are essential as well as a flexible approach to working.  A level of English language competency and communication skills necessary to perform this role safely and effectively is required.
