This is a fixed term post of 12 months.
(Please note the salary is Pro Rata) for part time hours.
The shift pattern for this position is Thursday -Friday between 9-5pm and every second Wednesday 9-5
You will provide a secretarial/administrative service to Health Services Section/Public Health Protection Unit within Public Health Directorate. Duties are varied and will include; Screening incoming telephone enquiries, diary management, typing, filing, organising meetings and training events, database entry, creating spreadsheets, collating and distribution of meeting papers, minute taking and updating project management plans, SharePoint site and Action logs accordingly. A good working knowledge of Microsoft Word, Excel, Access, Powerpoint and Outlook is essential as well as the ability to work on your own initiative. Experience of updating websites is desirable though training will be given. You will have at least 3 years relevant experience and educated to HNC level in Business Administration or equivalent.
Requirements:
- Higher National Certificate or equivalent
- Proficient in use of Microsoft Office software packages, e.g. Word, Excel, Access, PowerPoint, Teams
- Secretarial, administrative, clerical experience, educated to HNC level or equivalent experience
- Good written and oral communications skills
- Excellent organisational skills
- Ability to prioritise workload
- Experience in minute taking and recording accurate minutes
- Ability to deal with enquiries in a professional and courteous manner
- Ability to attain knowledge from internet and competent in email.
- An understanding of and the ability to maintain confidentiality and clear understanding of Data Protection Act and Freedom of Information Act
- Flexible attitude to work in general
