This is a unique role operating within the Chair and Chief Executive’s Office to provide PA / administrative support to the Chair, Chief Executive and Executive Assistant when required
The post holder will also work within the Performance Function based in the Deputy Chief Executive Office.
A summary of the purpose of this role across these offices is:
- To provide a comprehensive secretarial, clerical and administrative service.
- To provide flexible cover and support for the Executive Assistant, including personal assistant duties under guidance as required.
- To ensure all material and correspondence (emails, letters, phone calls) received through the office(s) is effectively managed across the wider organisation (under guidance) so that these are appropriately acted upon in a timely fashion. This includes adhering to the existing systematic tracking systems in place and expanding these when necessary to effectively prioritise, redirect or escalate.
- Data input to and / or extraction from databases or spreadsheets, reporting and producing correspondence as required.
The purpose of this role is to provide an effective and efficient support service responsible for the management of formal MSP/MP communications that come into the Chair and Chief Executive’s office.
To ensure that all material and correspondence which is routed through the Chair and Chief Executive’s office is effectively managed across the wider organisation for action and followed through using systematic tracking where required.
