The Contracting, Vendor and Service Management Team (CVSMT) provide expert advice and services across the National Health Service in Scotland and is part of the DaS SBU.


The role of the DaS SBU is to support the NHS Scotland national eHealth agenda through the effective delivery of Digital products and specialist services that will enable clinical process and efficiency improvements across Scotland. This includes the delivery of Digital services, systems, data and contracts which enable cross-Board/ boundary integration, workflow, information sharing, cost efficiency realisation and collaboration.


The CVSMT is the principal point of contact between NHS Scotland and the Suppliers of a range of National IT Service contracts, which embrace business and clinical systems at both national and local levels.


An opportunity has arisen for the role of Project Support Officer on secondment to provide key administrative support related to the General Practice IT Contracts with a number of suppliers that NSS manages on behalf of NHS Scotland.  This is a Fixed Term Contract / Secondment for 3 years.


Principal responsibilities will be to:


• Focus on support of the GP IT Re-Provisioning Project which is in the process of replacing existing GP IT systems already in place between suppliers and Health Boards with new GP IT Managed Services.
• This includes some customer liaison and financial administration processes.
• Take part in a number of client/contractor governance and project meetings and provide the secretariat for these, including minute taking on complex/technical topics.
• Providing administrative support to services/programmes/projects, including meeting/event planning and management.
• Ensure adherence to project management processes.
• Assist with the management of clients/contractors using established governance arrangements (e.g. workstream review meetings etc.).
• Delivery of appropriate management information and reports as required to various stakeholder groups.


The post holder must demonstrate competence and have experience in office administration, telephone and communication skills, personal organisation, initiative, attention to detail, time management and minute taking.


The post holder must exhibit good interpersonal skills and be able to deal with people at a number of levels of the organisation.

The post holder will have a well-developed organisational ability and be able to prioritise their own workload, be proactive and ensure administrative processes are operated in a timely and efficient manner.


The post holder should ideally:


• Have experience in supporting similar complex IT projects.
• Have a working knowledge of Microsoft Project or ServiceNow PPM, as well a good working knowledge of standard office software packages e.g. Microsoft Word, Excel, Office, PowerPoint.
• Have flexibility and the ability to work well in a busy multidisciplinary team.
• Have well-developed written and verbal communications skills and able to interact confidently and professionally with staff and suppliers at all levels.
