To provide a comprehensive and efficient ward administration service.  To act as a focal point for patients being admitted to the wards/DBUs, ensuring all demographic information is kept up to date in the patient’s records

and on the patient administration system. The post is extremely demanding and requires a high level of accuracy at all times.  You will be required to work on their own using their own initiative, adhering to Departmental/NHSGGC policies and support from the team leader. To ensure admissions, transfers, discharges and outpatient appointments are recorded on TrakCare (and other relevant systems) in real time. Greeting patients on their arrival at the unit and ensuring patient demographic details are correct on the relevant systems. To maintain an accurate bed stated and inform the bed manager of this first thing in the morning and keep her updated as to changes throughout the day (base site only). To provide, locate and ensure the availability of the health record for all ward patients at the point of admission and ensure that these records are tracered electronically on TrakCare (sites that use case records). To ensure that all relevant documentation is available/presented for scanning at point of patient discharge. To scan relevant documentation onto clinical portal/TrakCare as required. Communicate with clinicians, nurses, medical secretaries, filing room staff, internal/external customers by telephone, email or face to face, ensuring at all times that confidentiality is paramount and in line with local and divisional information and security policies, ie Caldicott, DPA and FOI (Scotland) Acts. To file signed investigative reports in patient records. To ensure that ward follow  up admissions are entered on TrakCare and waiting list entries are created. greet visitors courteously and ensure that they are directed appropriately. To be responsible for the timely processing of all incoming mail. To be responsible for the ordering of all stationery using the Pecos system. You should  have  good interpersonal, communication and organisational skills. Ability to work on own initiative, multi-task. Ability to work as part of a team. Ability to work to deadlines in a pressurised environment. Good standard of education,  and have. previous/recent NHS experience/ward clerk experience. Excellent keyboard skills. The hours of this post will be worked Monday to Thursday 8.30am to 5pm, Friday 08.30am to 4.30pm.
