Midlothian Health & Social Care Partnership are looking to appoint a Team Lead/Personal Assistant, to provide personal assistant support to a senior manager within the management team (which includes the Joint Director, Heads of Service, Clinical Director, Chief Nurse, Integration Manager, and Chief AHP), as well as provide day to day supervision of personal assistants and secretaries (5.8 WTE) who make up the rest of the administrative team at Fairfield House.
This post works across NHS and Council as part of the Health & Social Care Partnership.
The postholder will provide a comprehensive secretarial and administrative service to ensure the smooth operation of the department. They are responsible for managing a senior manager’s diary, managing communication into the office, and managing meetings including preparation and circulation of papers, minute-taking, and follow-up. The postholder will also take on general administrative duties to support the senior management team as required.
As Team Lead the postholder is responsible for the day to day supervision of PA and administrative staff, including all associated duties such as authorising and recording annual leave or sickness, supporting staff development, dealing with complaints, and making day to day decisions on workload and staff.
The postholder will need to be flexible where the service requires in times of increased activity, annual leave, and sickness. They will have great time management, prioritisation, organisational, and communication skills to meet competing demands from different sources to ensure a well-coordinated, efficient, and professional service is provided at all times.
The post will require a wide range of communication with internal colleagues and managers, as well as the public and external organisations such as other local authorities, voluntary organisations, private companies, and other Health Boards.
The postholder will be based at Fairfield House, Dalkeith. This post will be within normal business hours, Monday-Friday.
