The Administrative Support  Officer will join the eHealth team based at NHSL Headquarters., Kirkland's Bothwell. A full UK driving licence holder will be essential to meet the needs of the service, as the post holder will be required to travel between sites for department meetings. The shift pattern will be 9am to 5pm Monday to Friday

The role of the Administrative support officer is to provide a high level of administrative and secretarial support to the Data Sharing Programme Manager and wider eHealth Department Contributing to the overall work of the Lanarkshire Data Sharing Partnership Board, managing office systems effectively, practicing significant discretion and diplomacy in the work area within defined parameters and ensuring deadlines are met. Ensuring confidentiality, diplomacy and discretion are maintained at all times.

The successful candidate would have achieved the following skills & attributes:

Previous experience in providing administrative and or secretarial support. Good communication skills and ability to work in a team environment. Experience in working as part of a team delivering projects.

  • A relevant secretarial qualification at HNC level or equivalent or previous secretarial/admin experience working to a Senior Manager undertaking the following duties: drafting correspondence for signature, taking and transcribing minutes, reading, prioritising and answering emails, maintaining an ‘electronic bring forward’ system, diary management for multiple diaries, establishing and maintaining an electronic filing system for the department, ability to draft PowerPoint presentations.
  • Advanced knowledge of detailed secretarial procedures and software programs.
  • Self-motivated person with excellent organisational, communication, and interpersonal skills.
  • Ability to interpret and re-provide information.
  • The requirement to demonstrate initiative.
  • Ability to devise detailed administrative processes, e.g. forms, flow charts, etc.
