What you'll do 

Key tasks will include but are not restricted to:

  • Preparing a Schedule of Business that sets out the business to be scrutinised by the Board Standing Committee during the year, co-ordinating Committee meeting schedules to ensure all meetings operate in line with the Board’s Standing Orders and relevant Committee Terms of Reference.
  • Demonstrating a strong collaborative team working approach with the Board Secretary, Executive Lead and Committee Chair (and others as appropriate), recognising the importance of etiquette and confidentiality when required.
  • Preparing agendas for meetings in line with the schedule of business; ensuring these are reviewed by the Executive Lead and approved by the Committee Chair; collating and overseeing the distribution of meeting papers in line with agreed standards and timelines and preparing Committee Chair briefing documents, ensuring that the Chair is fully prepared for each meeting.
  • Preparing meeting minutes to a high standard and in line with NES’s agreed timelines and standards, as legal records of the Board and maintaining a formal record of meeting actions and following up in a timely fashion to ensure all actions are completed within agreed timelines.
  • Assisting with the scheduling and administration of full Board meetings and supporting the efficient administration and servicing of executive meetings, some of which follow a similar approach and standard to the administration of Board and Board Committee meetings.

What you'll bring

These will include but are not restricted to;

  • High level of written and verbal communication skills, including preparing formal governance minutes and report writing.
  • Experience of communicating with stakeholders and audiences at every level.
  • Demonstrable experience of providing high level administrative support to senior members of an organisation
  • Experience of managing complex issues at a corporate level
  • Ability to work collaboratively within a complex and dynamically changing team and external environment.
  • Excellent written and verbal communication skills to communicate clearly, effectively and confidently at all levels in the workplace.
  • Ability in planning, organising and prioritising own and others work effectively
  • Good interpersonal skills, including persuasion and motivation
  • Able to produce work of a high quality with minimum supervision
