Full Time - 37 hours per week:  Monday to Friday 9am – 5pm

Calsayseat Medical Group is an inner-city GP practice with around 12,500 patients and a friendly multidisciplinary team.

This is an additional position to complement our current secretarial and administrative support teams.  The successful candidate will work alongside our Medical Secretary; Document Workflow and Reception teams so ideally will have comprehensive, all-round, experience in administrative services within Primary Care.

The post will initially focus on supporting our Medical Secretary and Document Workflow teams and will later expand to include more reception and general administrative duties.  This will be a multi-skilled position with the candidate providing support to each team as required, so you must be a quick learner who is adaptable and flexible.

We are a busy, fast paced practice so ideally you will have knowledge of medical terminology and quick, accurate audio typing and keyboard skills.  You must have the ability to work to tight deadlines and possess strong organisational skills with the ability to prioritise and remain focused in a challenging environment.

Team working is essential in support of your colleagues and the clinical team.  You must have excellent communication skills and be confident in communicating with both the public and staff (in person, on the telephone and in writing) and able to handle sensitive situations with tact and diplomacy.  You must be able to work pro-actively, on your own initiative.

Excellent IT skills, confidentiality, reliability and attention to detail are essential to succeed in this role, in addition to a friendly and helpful manner.

You will be confident and familiar in working with Microsoft Outlook and Microsoft Teams, experience of working with the clinical systems Vision and Docman is desirable, although full training will be provided to the right candidate.

Examples of some of the duties involved in this varied role include:

•    Clinical dictation, including referrals
•    Actioning test results as requested by the clinician
•    Medical coding of hospital letters
•    Notes summarising
•    Arranging patient appointments
•    Chasing unactioned blood recalls
•    Electronic forwarding of hospital letters
•    Welcoming patients to the surgery, following the latest COVID guidelines
•    Answering incoming telephone calls
•    Accepting requests for and printing prescriptions
•    Processing test results
•    Dealing with e-Consults
•    Registering new patients and updating patient records
•    Scanning documents into patients’ electronic records
•    General administration duties including answering queries via telephone / email, filing, processing mail, conveying messages etc.

Training will be provided, if required.

Annual leave entitlement in 7.6 weeks per year.  This leave includes public holidays.

Salary is £19,360 per annum plus additional allowance of £500 per annum.
